PRIVACY NOTICE

Your information should work for you—not become a surprise.

This notice explains what THOBIV currently collects, why it is needed, who can see it and the controls available to you.

Connected telephone accounts

If you connect Twilio, THOBIV encrypts your account credential and uses your selected number to handle incoming calls. Spoken input may be transcribed; call details and conversations are stored in your workspace. Callback messages are saved in CRM when enabled. Call audio is not recorded by this integration. Twilio processes telephone and speech data and bills your account directly. Disconnect your number before deleting your THOBIV account to restore its previous call handler.

1. Who this notice covers

This notice covers people who create a THOBIV workspace and visitors who submit information through a THOBIV form or business landing page. A business that publishes a form is responsible for explaining why it collects each response and how it will use it.

2. Information THOBIV processes

  • Account information supplied during THOBIV registration, including email address and display name.
  • Workspace content such as pages, landing-page details, forms, uploaded files, knowledge documents and AI prompts or results.
  • Customer and prospect information entered into forms or CRM, including submission times and uploaded files.
  • Consultation booking details such as name, email, phone, business name, selected service, preferred call format, appointment time and any notes you provide. We use these to arrange and manage your appointment.
  • Service records needed for security, allowances and reliability, such as monthly usage and rate-limit records.

3. Why the information is used

THOBIV uses this information to provide the service, keep each workspace separate, publish pages and forms requested by users, organise form responses, operate CRM, apply plan limits, prevent abuse and improve reliability. THOBIV does not currently sell personal information or use it for third-party advertising.

4. AI processing

When a user asks THOBIV Business for help, the prompt and relevant content selected for context may be sent securely from the THOBIV backend to Google's AI service. The public THOBIV AI Assistant may also send your question and recent conversation to the AI service to explain THOBIV services. When its page-help option is enabled, headings and control labels from the current page are also sent; form values, uploaded files and CRM tables are excluded. Its chat is kept only in the current page session and is not saved as a CRM record or workspace conversation. API credentials are not placed in the website frontend. Do not submit information to AI unless you are authorised to use it.

5. Sharing, email and public content

Published landing pages and forms are public to anyone with their link. Form responses, private documents and workspace pages are restricted to their signed-in owner. CRM data is also accessible to accepted team members according to their assigned role; owners can revoke that access. THOBIV owner administration can access service records and structured backups for support and recovery. Hosting and security infrastructure, Google's AI service for requested tasks, and Resend for account and service emails may process limited data only where needed to provide those services.

Website chatbot conversations

A business may publish a THOBIV chatbot on its own website. Approved business information and relevant messages are sent to the AI service to prepare answers. Each visitor has a separate, short-lived conversation session. Chat history is removed after the session expires when new sessions are started; enquiries submitted with consent are kept in the business’s CRM so its authorised team can follow up. Contact that business for questions about your enquiry or to request deletion. THOBIV does not automatically send emails, connect calls or confirm appointments through chat.

Connected Facebook Pages

When an owner connects a Facebook Page and enables Messenger replies, THOBIV receives Page-scoped customer identifiers and messages from Meta. Messages and replies are saved in the owner’s inbox. If enabled, enquiries and human-help requests are saved in CRM and assigned to the team. Relevant conversation and approved business information are sent to the AI service to draft replies. Replies are sent after approval or automatically in the selected mode. Page access tokens are encrypted and excluded from exports. Owners can pause replies, disconnect locally, remove access in Meta Business Integrations, and delete stored data by deleting their THOBIV account. Stop requests suppress THOBIV replies. Businesses must inform their customers about this processing.

Connected WhatsApp accounts

When a workspace owner authorises a WhatsApp Business account and enables live replies, THOBIV receives customer phone numbers, profile names and text messages through Meta. Messages and replies are stored in the owner’s inbox and may be added to CRM when enabled. Relevant messages and approved business knowledge are sent to the AI service to draft answers. Replies are sent through Meta after approval or automatically in the owner’s selected mode. Account access tokens are encrypted and excluded from exports. Owners can pause replies, disconnect the account and delete stored data through account deletion. Customers should contact the business for privacy requests. Stop requests suppress further replies from THOBIV; other messaging tools used by that business are separate. Opening Meta login loads Meta’s account-authorisation services and their essential security technology.

6. Retention and deletion

Workspace information is kept while the account is active or while it is reasonably needed to provide and secure the service. Signed-in users can export their structured workspace data and delete their THOBIV account from Account & privacy. This removes workspace records, uploads, consultation bookings and local sign-in records and revokes local sessions. External sign-in-provider accounts are separate. Previously downloaded exports or backups and provider-managed security logs cannot be erased by this control; contact support for help with retained copies.

7. Your choices

Depending on where you live, you may have rights to access, correct, export, restrict or delete personal information. Workspace owners can use the self-service controls. Form respondents should first contact the business that published the form because that business decides why the response is collected.

8. Cookies and device storage

THOBIV currently uses essential sign-in and security technology plus a device-local preference that remembers whether the essential-storage notice was dismissed. THOBIV does not currently use advertising or marketing cookies.

9. Contact and changes

Registered users can manage privacy requests from Account & privacy. Questions can be sent to support@thobivai.com. Last updated: 7 October 2026. Material changes to this notice will be dated and presented clearly.
